The International Baccalaureate (IB) is committed to supporting the ongoing development of a worldwide professional learning community comprised of internationally minded teachers, school leaders and administrators. To that end the three regions conduct comprehensive annual programmes of professional development designed to help teachers and schools to better understand and deliver the three IB programmes.
Professional development plays a key role in the organization’s mission. It is driven by the need to develop, pilot, implement and maintain policies, procedures, programmes and resources targeted at improving the quality of administering, coordinating, teaching and delivering the IB programmes.
The conference/events manager oversees the organizational details for all events within the region including workshops held at hotels and on school campuses. Specifically, the Conference & Events Manager and the team coordinate logistics with schools, negotiate hotel contracts, food and beverage prices, meeting room rentals, attrition, faculty conference packages, participants’ conference package, associated business and social events for the annual regional conference, hotel and transport for all the VIPs for the annual regional conference, Regional Council meetings and other senior staff retreats that take place within the region. This role and associated roles within the department involve weekend travel throughout the region for at least 30 conferences per year for quality control purposes and for conferences planned and directly organized by the Conference & Events Manager i.e. 2-3 conferences per year.
This position ensures that the planning of the PD offered by the organisation corresponds to the demand and offers PD at consistent pricing and quality.
The Conference & Events Manager will:
• Oversee the operations of the workshops, conferences and events within the region in order to successfully meet the demands of PD within the region
• Be proactively responsible for maintaining and analyzing financial and events related data in order to ensure standards and goals are being met.
• Prepare budgets, forecast and manage income and expenditure to achieve financial goals within the IB’s annual operating cycle to ensure best value and compliance with financial guidelines for the department.
• Lead the recruitment, management and development of 8 staff within the division, resulting in an effective team both North America and Latin America
• Be responsible to coordinate logistics of 2-3 regional workshops and 3-4 district workshops annually in order to provide for quality control of regional workshops
Requirements:
• Bachelors’ degree required and/or a combination of experience, education and training that would provide the level of knowledge and ability required for the position
• Proven experience in hospitality, conference planning and hotel contracts, or related area of expertise
• Certified Meeting Planner (CMP) preferred
• Significant successful experience in negotiating contracts and dealing with hotels and vendors in executing conferences, events in excess of 100 participants and 6+ events annually
• Strong negotiation, decision-making and leadership skills
• Understanding of venue and supplier contracts, procedures and details associated with conference management
• Knowledge of financial management, budgeting and cost control procedures
• Excellent written and oral communication skills
• Superior organizational and procedural skills - ability to maintain accuracy and provide correct information.
• Ability to handle multiple concurrent workshops / projects through to completion
• Must be highly motivated and develop and lead a team
• Excellent IT skills (Microsoft Excel, PowerPoint, Publisher and Word)
• Ability and willingness to travel domestically and internationally
• English fluency required, fluency in Spanish or French desired
